As our portfolio grows and new ventures move from concept to investment readiness, strong fund operations become critical. We seek a Fund Administration Manager to manage the operational and administrative backbone of our investment activities, ensuring all entities, documents, and stakeholder interactions are tracked, compliant, and audit-ready.
This role does not originate decisions; it ensures execution, follow-up, and full record integrity. You act as the central control point across all fund operations, ensuring full execution, tracking, and documentation in line with instructions and LPA requirements.
THE ROLE
What you’ll own here.
Oversee day-to-day fund operations across all entities, acting as the central coordinator between our fund administrator (Apex), GP (Maples), legal counsel, and auditors.
Execute and track all instructions across stakeholders, proactively following up until completion, escalating delays, and ensuring nothing falls through the cracks, with clear, real-time status tracking across all ongoing matters.
Coordinate capital calls end-to-end: review administrator calculations against the LPA, maintain a live cash tracker, and ensure every step is fully documented with a clear audit trail.
Track all fund expenses against LPA limits and budgets - validate invoices before payment, flag non-compliant costs, and maintain a real-time cost tracker.
Ensure all entities are in good standing and properly governed: coordinate board and shareholder resolutions and director appointments and removals and ensure required roles are always in place - with full follow-up until completion (control, not decision-making).
Support portfolio companies on CR issuance and renewals (KSA), director changes, Powers of Attorney, and bank account setup. Work with legal counsel, service providers, and relevant authorities - ensuring no portfolio company is operationally blocked.
Maintain centralized, audit-ready records for the fund, all entities, and portfolio companies - including KYC and identity documentation, ensuring no dependency on third parties for critical records.
Log and store all communications, approvals, and instructions across administrators, legal, auditors, and service providers, ensuring everything is fully traceable and audit-ready at all times.
Coordinate the audit process and ensure all data, documents, and reporting are ready when needed.
Build and maintain structured tracking systems for tasks, documents, and approvals, continuously improving operational discipline across the fund.
THE PROFILE
You’re probably a fit if…
You have 5-10+ years of experience in fund operations, fund administration, venture capital, or private equity.
You have a strong working understanding of fund mechanics - capital calls, fund structures, LPA compliance, and investor reporting.
You're highly organized and detail-oriented, with the discipline to manage complex multi-entity documentation without anything slipping.
You have strong follow-up habits and are comfortable managing stakeholders across jurisdictions, auditors, legal teams, service providers, and internal teams.
You build structure where it doesn't exist and maintain it as things scale up.
Bonus: experience working with institutional fund administrators (e.g., Apex, Citco, Aztec) or GP management firms (e.g., Maples).
Bonus: familiarity with KSA regulatory requirements, entity governance, or MENA fund structures.
